Reports and filters

Reports has three views of the same time: Detailed lists every entry, Dashboard and Cumulative add it up. All three read one filter bar, so this page starts there and then covers Detailed. The charts have a page of their own.

One filter bar for every report

The bar at the top of each report holds four choices: client, project, billable and time range. Whatever you pick stays picked as you switch between Detailed, Dashboard and Cumulative, and when you come back to Reports later in the same session — so the totals on the Dashboard always describe the same entries Detailed lists.

A timer that is still running isn’t in any report yet. It appears once you stop it.

Choosing a time range

The range list has the usual periods — today, this or the previous week, month and year — and Custom, which shows two date fields. Both dates are included: from the 1st to the 15th means the whole of the 15th. Pick them in the wrong order and WorkSnap simply swaps them. A new session starts on This week.

An entry belongs to the day it started. A session that runs from 23:30 to 00:30 counts towards the first day, in full.

Days follow your time zone

“Today”, “this week” and the day an entry belongs to are worked out in the time zone set in Settings → Defaults → Time zone. If you travel, or the zone set there isn’t the one you work in, an entry from late evening can land on the next day in a report. Fix the zone and every report follows — the entries themselves don’t change, only which day they are shown on.

Narrowing by project and client

Both lists start with three options before your own projects and clients:

Time on a project you have since deleted counts under All only — it is neither “with” nor “without” a project any more, and the charts list it as No project.

The two lists work together in one direction. Pick a client and the project list shrinks to that client’s projects. Pick a project and the client is set to match — there is only one it can be (“With a project” leaves the client as it is). If a client choice no longer fits the project you had picked, the project goes back to “All projects” rather than quietly showing nothing.

The billable list works the same way: it only offers what the chosen project or client actually has, so you won’t be offered “Non-billable only” for a client you always bill.

The Detailed report

Detailed is a list of the entries that match the bar, newest first, fifty to a page (you can show more or fewer below the list). Each row carries the description with its project and client, the times and date, the duration — with the rounded duration underneath when your rounding changes it — and the amount. You can sort by time and by duration; amounts can’t be sorted, because each one depends on the rate and rounding that apply to that entry.

Entries that aren’t billable show 0.00 marked Non-billable. Hours covered by a package show a dash marked Prepaid — prepaid hours explains why.

Correcting an entry from the report

Click a row — or its Edit button on a phone — to open the entry: description, project, billable, start and end. The duration follows from the two times, so you correct the times, not the duration. An end earlier than the start is refused rather than guessed at.

Changing the project resets billable from that project’s defaults; you can still switch it back by hand afterwards. If the corrected entry no longer matches the filters — you moved it to another project, say — it is saved and then drops out of the list, with a message saying so.

The bin icon on each row deletes the entry after a confirmation. It goes to the same recycle bin as anything deleted on the Time Tracker — see deleting from the Detailed report.

The totals under the list

The totals add up every entry that matches the filters, not just the page you are looking at:

The same report can be downloaded as CSV, XLSX or PDF from the download icon in the filter bar, with the filters you have set — see exporting reports.
